Proposal for OSU Center for Health Sciences

One system of record for every GME resident, program, and review cycle.

GME Central replaces spreadsheets, shared drives, and disconnected trackers with a single platform purpose‑built for OSU‑CHS's Department of Graduate Medical Education — from onboarding through board certification.

The problem

GME data is scattered across too many places to manage safely.

Program coordinators and the DIO currently reconcile resident data across spreadsheets, email threads, and siloed tools — a process that does not scale and does not hold up under accreditation scrutiny.

Spreadsheet fragmentation

Resident, program, and rotation data lives in dozens of disconnected files maintained by different coordinators. There is no single source of truth, and version conflicts are routine.

Accreditation risk

ACGME site visits and internal reviews demand traceable, auditable records. Manual tracking makes it difficult to demonstrate timely concern resolution and program oversight.

Reporting blind spots

Leadership cannot see institutional trends in real time. Producing GMEC and institutional reports means manually assembling numbers from disconnected sources each cycle.

The platform

Five modules. One system of record.

Every module writes to the same underlying data model, so information entered once by a coordinator is instantly available to program leadership, the GMEC, and institutional reporting.

Resident & Program Data

  • Centralized resident profiles, rotations, and program assignments
  • Program-level configuration for all 14 ACGME-accredited programs
  • Single source of truth shared across every module

Concern Tracking

  • Structured intake and routing for professionalism and performance concerns
  • Status tracking from open through resolution with full history
  • Configurable escalation to program directors and the DIO

Accreditation & Review

  • Document repository aligned to ACGME site visit requirements
  • Internal review scheduling with audit-ready history
  • GMEC meeting records linked to program-level findings

Recruitment & Match

  • Applicant pipeline from interview through NRMP Match
  • Rank list coordination shared across program committees
  • Match outcomes feed directly into resident onboarding

Reporting & Analytics

  • 10 institutional report types generated on demand
  • Live dashboards for program directors, the DIO, and GMEC
  • Unified analytics drawn from every other module in real time
